Gardeners Colyers is committed to providing a safe and healthy working environment for all employees, contractors, clients and visitors. This policy sets out our approach to managing health and safety within our gardening and grounds maintenance activities, including work at residential gardens, commercial sites and shared outdoor spaces.

Policy Statement and Objectives

Management at Gardeners Colyers accepts overall responsibility for health and safety performance and will provide appropriate resources, time and support to implement this policy effectively. All staff are expected to co-operate fully, follow safe systems of work and take reasonable care for their own health and safety and that of others who may be affected by their actions.

Legal and Regulatory Compliance

Gardeners Colyers will comply with all relevant health and safety legislation, approved codes of practice and industry guidance applicable to gardening, landscaping and grounds maintenance. We will monitor changes in legal requirements and update our procedures and training as necessary to ensure ongoing compliance.

Roles, Responsibilities and Consultation

Management is responsible for establishing safe working practices, carrying out risk assessments, providing training and supervision, and ensuring that equipment and materials are suitable and properly maintained. Supervisors will monitor day-to-day work on site, ensure that control measures are followed and report any issues that could affect health and safety.

Employees must work in accordance with training and instructions, use equipment correctly, wear any required personal protective equipment and report accidents, incidents, near misses or hazardous conditions without delay. Gardeners Colyers encourages open communication and consultation on health and safety matters so that concerns can be raised and addressed promptly.

Risk Assessment and Safe Systems of Work

We will identify and assess risks associated with our gardening activities, including but not limited to the use of machinery, tools and equipment, manual handling, slips, trips and falls, working at height, exposure to noise, dust and vibration, handling of plants, soils and green waste, and use of horticultural chemicals where applicable.

For each significant risk, we will implement reasonable control measures such as safe operating procedures, equipment guarding, suitable lifting techniques, restricted access zones around machinery, and clear methods for the handling and disposal of waste. Risk assessments will be reviewed periodically and whenever there are significant changes to work methods, equipment, or site conditions.

Training, Competence and Supervision

All staff undertaking gardening work will receive health and safety induction, task-specific training and ongoing instruction to ensure they are competent to carry out their duties safely. This may include training on the safe use of lawn mowers, trimmers, hedge cutters, powered tools and hand tools, manual handling techniques, safe use and storage of fuels and other substances, and emergency and first aid procedures relevant to the work environment.

Supervision levels will be appropriate to the experience and competence of employees and the complexity of the work. New staff, trainees and those using unfamiliar equipment will be closely supervised until they can work safely and independently.

Equipment, Materials and Personal Protective Equipment

Gardeners Colyers will ensure that all machinery, tools and equipment used in our gardening services are fit for purpose, properly maintained, and inspected at suitable intervals. Defective equipment will be taken out of service immediately until repaired or replaced. Safe operating instructions will be followed at all times.

Where identified by risk assessment, suitable personal protective equipment will be provided at no cost to employees. This may include protective footwear, gloves, eye and hearing protection, high-visibility clothing, and respiratory protection where required. Employees must use this equipment as instructed and report any defects or loss.

Chemicals, Substances and Environmental Considerations

Where the use of horticultural chemicals or other substances is necessary, Gardeners Colyers will assess the risks, follow manufacturers instructions and implement appropriate control measures to protect people and the environment. Storage, handling, mixing, application and disposal will be carried out safely and responsibly, with preference given to lower risk methods and products where practicable.

We recognise our responsibility to minimise the environmental impact of our activities. We will manage green waste responsibly, avoid unnecessary disturbance to wildlife habitats and take reasonable steps to protect neighbouring properties and public areas from noise, dust and other nuisance arising from our work.

Site Safety and Public Protection

When working at client premises or in shared outdoor spaces, we will take steps to protect clients, visitors, members of the public and other contractors. This includes maintaining tidy work areas, managing vehicle and pedestrian access, using barriers or signage where necessary and planning work to reduce risks in high-traffic areas or confined spaces.

Particular attention will be given to the safe operation of powered equipment near public pathways, driveways and communal areas. Work will be stopped or adjusted if changing conditions make it unsafe to continue.

Accidents, Incidents and Emergency Procedures

All accidents, incidents, near misses and hazardous occurrences will be recorded and investigated to identify causes and implement corrective actions. Appropriate first aid arrangements will be in place for our staff and for anyone who may be affected by our work. Employees will be informed of emergency procedures relevant to the sites on which they work, including fire safety and contact arrangements for urgent situations.

Monitoring, Review and Continuous Improvement

Gardeners Colyers will monitor health and safety performance through site checks, equipment inspections, training reviews and analysis of incident reports. Findings will be used to improve our procedures, training and communication.
